Fully affiliated with Queen’s University and St. Lawrence College, Providence Care is a member of the Council of Academic Hospitals of Ontario and is centre for healthcare, education and research.

We are recruiting for an Executive Assistant.

The Executive Assistant (EA) acts independently, with minimal supervision to provide broad-based support, liaison and assistance to the Chief Financial Officer (CFO) and corporate affairs portfolio. The incumbent also relates to and provides assistance to the senior leadership team, other staff or stakeholders as required. The EA will ensure that all issues are dealt with in a timely and efficient manner, either through direct handling or through referral to other appropriate individuals. The EA will make effective decisions related to identification, analysis, problem-solving and distribution of presenting issues, referral of issues emerging from the daily work of the CFO’s office or referred to the CFO’s office by staff, clients, families, and members of the public.

Qualifications
  • Minimum of five years of experience in a related field, supporting a senior executive, including three years of experience in minute taking, preparing agendas, participating in group work and coordination of meetings
  • Completion of two-year minimum) post-secondary education in business, legal, finance or office administration or related field; equivalent combination of education, training, and recent related experience may be considered
  • Prior experience in a legal, accounting or finance office is as asset.

Key knowledge, skills and abilities;

  • Demonstrated strong organization skills with ability to prioritize multiple competing tasks, manage a full work-load and meet deadlines in a busy environment with frequent interruptions
  • Demonstrated advanced computer skills in working with Microsoft Office Suite of products, including the use of word processing, spreadsheets, databases, project management, presentation, e-mail and desktop publishing software
  • Demonstrated effectiveness in identifying and analyzing situations and problems; suggesting viable solutions with consideration to departmental operations
  • Ability to think strategically in conducting research and problem solving and  ability to understand concepts and provide information to the stakeholders to inform decision-making
  • Demonstrated project management experience including effectiveness with concurrently organizing, planning and coordinating operational initiatives with multiple project activities
  • Demonstrated excellence in interpersonal, written and verbal communication skills including, ability to demonstrate tact and diplomacy with diverse groups of stakeholders
  • Demonstrated commitment to discretion and confidentiality

  • Bilingual in French and English language, preferred
